In brief

  • We use your details to take, deliver and look after your orders, and to answer your questions.
  • We send marketing emails if you have signed up for them. If you have bought from us or started a checkout, we may also email you about your basket and similar products. You can unsubscribe from any email.
  • We do not sell your personal data.
  • You choose which non-essential cookies we use, in our cookie banner. You can change your choice at any time.
  • You can ask to see, correct or delete the personal data we hold about you, and you can complain to us or to the ICO.

1. Who we are

This policy explains how THE OUD LIBRARY LTD, trading as Oud Library, collects and uses your personal data when you visit oudlibrary.com, buy from us or contact us. We are the controller of that data under UK data protection law.

THE OUD LIBRARY LTD is registered in England and Wales with company number 15847385. Our address is 13a Alperton Lane, Perivale, Greenford, UB6 8DH, United Kingdom.

For any question about this policy or your data, email contact@oudlibrary.com or call 020 3488 4457.

2. The personal data we collect

  • When you order: your name, email address, phone number, billing and delivery addresses, what you bought and how you paid. Card details are handled by our payment providers; we never see or store your full card number.
  • If you buy from us on TikTok Shop or Whatnot: the order details they pass to us, such as your name, delivery address and what you bought, so we can send your order.
  • If you create an account: your login details and order history.
  • When you contact us by email, phone, live chat or WhatsApp: your messages and the details you give us.
  • If you sign up to our emails: your email address, any scent family you choose when you sign up, and how you interact with our emails, such as whether you open them and which links you click. Our emails contain small images and tracked links that record this.
  • If you leave a review: your name, rating, review and any photos you add.
  • If you join our affiliate programme: the details you give us when you join, and the sales made through your link.
  • When you browse our website: your device, browser, approximate location from your IP address, the pages you visit and what you add to your basket. Some of this comes from cookies and similar technologies, explained in section 9.
  • From the companies we work with: our payment providers tell us whether a payment went through and flag possible fraud, Royal Mail tells us where your parcel is, and review sites, our affiliate programme and our advertising partners tell us about reviews, referred sales and how our adverts performed.

To take and deliver an order, we need your name, delivery address, email address and payment. Without them we cannot fulfil your order. Everything else is up to you.

We do not ask for, and do not want to receive, sensitive information such as health details. Please do not include it in messages to us.

3. How we use your data, and our legal reasons

What we do Our legal reason
Take payment, send and deliver your order, and send order and delivery updates To perform our contract with you
Handle returns, refunds and questions about your order To perform our contract with you
Keep tax and accounting records To meet our legal obligations
Prevent fraud and keep our website and checkout secure Our legitimate interests in protecting our customers and our business

Ask you to review a purchase Our legitimate interests in hearing what customers think; every request lets you opt out
Send marketing emails to people who have signed up for them Your consent, which you can withdraw at any time
Email customers, and people who started a checkout, about their basket and similar products Our legitimate interests in telling our customers about similar products, which the law allows under its "soft opt-in" rule; you can opt out at any time
Use analytics and advertising cookies and similar technologies, and measure our adverts Your consent, given in our cookie banner
Run our affiliate programme To perform our agreement with affiliates, and your consent for referral cookies

4. Who we share your data with

We share personal data only with the companies that help us run our shop, and only as much as they need. Most of them act only on our instructions. Some also use the data for their own purposes, under their own privacy policies; we say which below.

  • Shopify runs our online shop and checkout, and processes card payments through Shopify Payments, including Apple Pay and Google Pay. If you use Shop Pay, Shopify also uses your details under its own privacy policy.
  • PayPal and Klarna, if you choose to pay with them. They use your data under their own privacy policies.
  • Royal Mail delivers your order.
  • TikTok and Whatnot, if you buy from us on their platforms. They pass us your order details and use your data under their own privacy policies.
  • Omnisend sends our marketing emails and runs our sign-up forms.
  • Judge.me and Trustpilot collect and display reviews, and send review requests after a purchase. Trustpilot also uses reviewers' details under its own privacy policy.
  • Chatway provides our live chat. WhatsApp, part of Meta, carries messages you send us there, under Meta's own privacy policy.
  • UpPromote runs our affiliate and referral programme.
  • Microsoft provides Clarity, which shows us how visitors use our pages, and a shopping assistant on our site.
  • Google provides Google Analytics and Google Ads, which measure visits and the results of our adverts. When you order, Google Ads also receives your email address and phone number in a coded form, so it can tell which adverts led to sales. Google also uses this data for its own purposes, under its own privacy policy.
  • Pinterest measures visits from Pinterest and the results of any adverts we run there.
  • The apps behind our site features, such as search, currency display, bundles and pre-orders, and the IT and business software we use to run Oud Library.
  • Our professional advisers, such as accountants, and authorities such as HMRC or the police, when the law requires it.

We do not sell your personal data.

5. Data sent outside the UK

Some of these companies store or process data outside the UK, for example in the European Union, Canada or the United States. When that happens, the transfer is protected in one of the ways UK law allows: the destination is recognised as having adequate protection, the company is certified under the UK extension to the EU-US Data Privacy Framework, or we rely on the UK's approved data transfer agreements. You can ask us for a copy of the safeguards we use.

6. How long we keep your data

  • Orders and payments: 6 years after the end of the financial year in which you ordered, because tax law requires it.
  • Customer service messages: up to 2 years after we last hear from you.
  • Your account: until you ask us to close it.
  • Marketing: until you unsubscribe. After that we keep your email address on a do-not-contact list, so we do not email you again.
  • Reviews: for as long as they are shown on our website or on Trustpilot.
  • Affiliate programme: while you are an affiliate, and records of commission payments for 6 years, because tax law requires it.
  • Cookies: for the times listed in section 9.

7. Your rights

You have the right to:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct data that is wrong or incomplete;
  • ask us to delete your data, unless we need to keep it, for example for tax records;
  • ask us to limit how we use your data;
  • ask for data you gave us in a format you can take elsewhere;
  • withdraw your consent at any time, where we rely on it.

Your right to object. You can object at any time to us using your data for direct marketing, and we will stop. You can also object to anything we do on the basis of our legitimate interests, and we will stop unless we have strong legitimate reasons to continue that outweigh your interests, or we need the data for a legal claim.

To use any of these rights, email contact@oudlibrary.com. We will reply within one month, and there is normally no charge. If your request is complex, we may need up to two more months, and we will tell you why. The time stops while we ask you for anything we need to find what you are looking for. To unsubscribe from marketing, you can also use the link at the bottom of any of our emails.

Automated decisions

Our payment providers check payments for fraud automatically, and a payment can be declined as a result. If that happens and you think it is wrong, contact us and a person will look at it. Apart from that, we do not make decisions about you by automated means alone that have legal or similarly significant effects on you.

8. Complaints

You have the right to complain to us about how we use your personal data. Email contact@oudlibrary.com with your complaint. We will acknowledge it within 30 days, look into it, and tell you the outcome without undue delay.

If you are not happy with how we deal with it, you can complain to the UK's data protection regulator, the Information Commission, known as the ICO: ico.org.uk/make-a-complaint or 0303 123 1113. The ICO will usually ask you to raise it with us first.

9. Cookies and similar technologies

Cookies are small files saved on your device. We and the companies we work with use them, and similar technologies such as pixels and local storage, to run our shop and, if you agree, to understand how our site is used and to measure our adverts.

When you first visit, our cookie banner asks which non-essential cookies you accept. Required cookies are always on, because the shop cannot work without them. Change your cookie settings at any time.

Some of these services also keep small amounts of data in your browser's local storage, for the same purposes. Providers sometimes change their cookies, and we update this list when we change the services we use.

Chatway's live chat, the Judge.me and Trustpilot review widgets and Microsoft's shopping assistant also load their own code on our pages, so those features work.

You can also block or delete cookies in your browser settings. If you block required cookies, parts of the shop, such as the basket, will not work.

10. Children

Our website and products are for adults. We do not knowingly collect personal data from anyone under 18.

11. Keeping your data safe

We use well-known providers with strong security, limit who can see personal data, and never ask for your password or card details by email. If you think your account or data is at risk, contact us straight away.

12. Changes to this policy

We will update this policy when the way we use personal data changes. The date at the top shows when it last changed.
